Have you felt like the whole world has been telling you the same thing over the past few years?

“AI is here — jump on the wave!”

So you signed up for course after course, spent thousands — even tens of thousands — learning all kinds of AI tools: ChatGPT, Midjourney, Notion AI, automation, AI copywriting, AI video editing, AI overseas marketing… 

And then what?

When you actually try to launch a real project or create a product and expect AI to help you “really make money” — you realize, it’s nothing like they said.

There are tons of tools, tutorials, and use cases, but nothing connects.

You end up either burned out or giving up entirely.

You’re not alone. Almost every client I work with — whether they’re entrepreneurs, freelancers, or small business owners — has gone through the same thing.

They all ask me one thing:

“Crystal, I thought AI was supposed to save me time, money, and manpower. Why is it just making me more exhausted?”

To be honest, it all boils down to this:

Everyone is treating AI like the main character, but they’ve forgotten — the one who should really be in control is Human Intelligence.

Over the past few years, we’ve been swept up in the “AI business boom,” but we’ve forgotten that the fundamentals of business haven’t changed.

Making money doesn’t come from knowing more tech tools.

It comes from having a real, functional system that solves problems and creates value.

My mentor and close collaborator, Odin, said something in his recent talk that hit the nail on the head:

 “You think you’re running a coffee shop? No — you’re running a sales and marketing company that just happens to sell coffee.”

 So true!

 Behind every successful business, you’ll find the same structure:

  • A clearly defined target market

  • Deep understanding of customers’ emotional pain points

  • A repeatable process for attracting, converting, and retaining customers

  • And only after that — using AI to automate those processes

So let’s be clear:

AI is a tool — nothing more.

If you don’t have business sense or a solid strategy, the more AI tools you use, the more chaotic things become.

It’s like having the world’s best kitchenware but no recipe — disaster guaranteed.

If you want to actually succeed in business with AI, you need to focus on these 5 key things:

1. Stop Random Marketing 

Posting today, editing a video tomorrow, testing a new ad idea the day after — that’s not marketing, that’s flailing. 

What truly works is a complete 5-step sales system:

  • Lead Generation

  • Conversion

  • Repeat Transactions

  • Average Sale Value

  • Profit Margin

Let’s break those down:

 

Step 1: Lead Generation

Before people can buy from you, they need to know you exist.

Ask yourself:

  • Is your website optimized for SEO?

  • Are you consistently posting targeted content on social media?

  • Do you have a lead magnet or landing page in place?

  • Are you using AI tools to distribute content and automate outreach?

 

No leads = no sales. Period.

 

Step 2: Conversion

Once people know about you, will they pay you?

Conversion depends on trust, clarity, and process design.

Think about:

  • Do you have a standard pricing script?

  • Do you use testimonials, FAQs, low or no risk offers to lower the barrier?

  • AI can automate follow-ups and quotes — but only YOU can design the path to persuasion. That’s HI.

 

Step 3: Transactions

People think the sale ends after one purchase. Wrong.

Real profit comes from repeat customers.

Examples:

  • Turn a single coaching session into a full mentorship program

  • Offer subscriptions or retainers for service-based businesses

  • Build memberships or premium upgrades for courses

AI can help automate reminders, renewals, and nurture sequences — but you must design the journey.

 

Step 4: Average Sale Value

The same customer — are they buying a $50 product or a $500 solution bundle?

Ask yourself:

  • Can you bundle services?

  • Upsell premium options?

  • Cross-sell complimentary items?

AI can generate tailored upsell offers and ads — if you give it a clear structure.

 

Step 5: Profit Margin

At the end of the day: are you actually making money?

Plenty of businesses earn 7 figures in revenue but less than 10% in net profit — because of high overhead and inefficiencies.

AI shines here:

  • Automated customer service, content publishing, and email campaigns

  • Saves time, reduces errors, improves delivery speed

  • Every hour saved is an extra point on your margin 

So these five steps form a full, interlinked system — not a checklist.

And the right way to use AI is NOT to skip strategy and jump straight to execution.

Remember: You design the strategy — AI takes care of execution at scale.

 

2. What You’re Missing Isn’t “Tools” — It’s a System

Let me share a real example.

A client who runs an education company came to me.

She was using ChatGPT, Canva, Notion AI, even had automated email and posting workflows.

But she was overwhelmed. No results, no growth.

I asked to see her content strategy — and realized she had no clear audience, no funnel, no lead capture.

Just “creating content” every day — based on feelings. No plan.

So the problem wasn’t “not using AI,”

It was “using AI to multiply the chaos.”

 

Another client, in home renovation, hired someone to build an AI-enabled website, install a chatbot, and set up an Instagram bot. Sounded fancy.
